Chapter 29

  • A form is created as a template document with data fields that can be filled in with different information each time the template document is used.
  • Three basic steps are involved in creating a form: 1) designing the form document based on a template and building the structure of the form; 2) inserting data fields where information is to be entered with the keyboard; and 3) saving the form as a protected document.
  • Create a new template by clicking the Office button and then clicking New. Click My templates… in the Templates section of the New Document dialog box. At the New dialog box, click the Blank Document template in the list box, click the Template option in the Create New section, and then click OK.
  • Insert content controls in a form with buttons in the Developer tab. Display the Developer tab by clicking the Office button and then clicking Word Options. At the Word Options dialog box with Popular selected, click the Show Developer tab in the Ribbon check box and then click OK.
  • Word saves template documents in the Templates subfolder within the Microsoft Office program.
  • Use the Text button in the Controls group in the Developer tab to insert a plain text content control.
  • Use options at the Restrict Formatting and Editing task pane to protect a template. You can protect a template so a respondent can enter information in the form but cannot edit the form.
  • Display the Restrict Formatting and Editing task pane by clicking the Protect Document button in the Protect group in the Developer tab.
  • Fill in a form by typing information in the desired field and then pressing the Tab key to move to the next data field or pressing Shift + Tab to move to the previous data field.
  • Open a template for editing at the Templates dialog box. Display this dialog box by clicking Trusted Templates in the Look in panel in the Open dialog box.
  • To edit a form template, stop protection of the template, make any desired changes, and then protect the template.
  • You can include instructional text in a content control. To do this, type the instructional text, select the text, and then click the Text button in the Controls group in the Developer tab.
  • Use the Picture Content Control button in the Controls group in the Developer tab to insert a picture content control in a form.
  • Use the Date Picker button in the Controls group in the Developer tab to insert a date content control in a form.
  • Create a drop-down list of choices for a data field with the Drop-Down List button in the Controls group in the Developer tab.
  • Click the Properties button in the Controls group in the Developer tab to change the properties of the selected content control. This displays the Content Control Properties dialog box. The contents of the dialog box vary depending on what content control is selected.
